Delivery challan format

A delivery challan is the note that travels with the goods. Whoever receives them signs it, and that signature is your proof the order was delivered — complete and in good condition. It lists what was sent and how many. It never shows the price.

Below is a blank format you can print and fill by hand, what goes in each part, and how it differs from an invoice.

What a delivery challan includes

Your unit’s name, address and phone
So the receiver knows who sent the goods.
A challan number
Numbered in order — DC-0001, DC-0002 — so both sides can point to the same delivery later.
The date
The day the goods left your unit.
Who the goods are going to
The client’s name, and the address if it is being delivered.
What was sent, and how many
One line per item with the quantity. Pieces, dozens, metres, cartons — whatever you counted.
Vehicle or driver, if you want it
Helpful when several deliveries go out the same day.
Two signatures
Yours, for sending. And the receiver’s, saying the goods arrived in good condition — the line that matters most.

How to fill it in

  1. Write the next number in your series, and today’s date.
  2. Write the client’s name, and the address if it is being delivered.
  3. List each item on its own line with the quantity you actually counted, not the quantity ordered.
  4. Sign it, and send it with the goods.
  5. Get it signed at the other end, and file the signed copy. That copy settles any argument about short delivery.

Questions people ask

Does a delivery challan show prices?

No. A challan proves what was delivered; the price belongs on the invoice. Leaving it off also means the driver and the client’s gatekeeper never see your commercial terms.

What is the difference between a delivery challan and an invoice?

A challan goes with the goods and comes back signed, as proof they arrived. An invoice asks for payment and carries the price, and GST if you are registered. One order often has both: the challan on delivery day, the invoice with it or after.

Does every delivery need its own challan number?

Yes. Number them in order and never reuse one. When a client says a carton was short three weeks later, the number is how you both find the same piece of paper.

How many copies should I make?

At least two: one travels with the goods and comes back signed, one stays in your book. Many units use a three-part carbon book so the client keeps one too.
